SERVICES WE PROVIDE
MARKETING: Cloverleaf Realty will coordinate the marketing of your investment property to prospective tenants. Each time the property becomes available; we will place a “for rent” sign on site, place a key box on the door for secured access by other real estate agents, and advertise in the following media: local newspapers, Multiple Listings Service (MLS), company website, and REALTOR.com. All advertising fees are included in the management fee.
APPLICATION PROCESS: All prospective tenants must complete a rental application for your property. Cloverleaf Realty then secures a credit report on all applicants. In addition we verify employment and current and past residential history. We handle everything from the initial contact to handing your new tenant the keys.
MAINTENANCE: Our staff at Cloverleaf Realty will take all repair calls from your tenants. You will be called by our staff to choose your own repair personnel or allow our company to do this for you. We will schedule the work to be done with the tenants.
RENT COLLECTION: The first month your tenant moves in, the rent will be prorated on a 30-day basis, and the tenant will be charged the actual number of days of occupancy. Each subsequent month, the rent will be due on the first of each month and will be considered on time if paid by close of business on the 5th day. If a tenant does not pay on time, we may begin eviction procedures anytime after the 11th day. We always hope to resolve a situation such as this amicably to avoid a vacancy.
LEASE AGREEMENT: As a member of the Richmond Association of Realtors, Cloverleaf Realty utilizes the detailed Lease Agreement available from the Virginia Association of Realtors. This lease attempts to anticipate any issues that can and will come up during the term of the Lease. It addresses many of these issues in easy to understand language that makes it very clear to the tenant what they can or cannot do with the property. It also very clearly states the consequences of any actions that would be considered a violation of the lease. This protects all the parties and gives Cloverleaf Realty and the Owner very clear steps that they can take to correct any potential problems.
ACCOUNTING: The accounting department at Cloverleaf Realty prepares a statement of your account activity on a monthly basis. When your tenant pays their rent the accounting department will immediately process a check for you. At year end your 1099-S tax forms are prepared and mailed to you.

Cloverleaf Realty, Inc. enjoys working with tenants to help them find the right property for them to rent. Here is a list of Frequently Asked Questions that we receive about our rental process.
What are your Requirements? Credit: We do credit checks on all applicants. Solid Rental History: We require good references from current and past landlords and/or rental agencies.
How do I see a Property? To view a property, please call our office at (804) 412-1960 between 9:00am—5:00pm, Monday through Friday to schedule an appointment. You may also request a viewing by sending an email to our Property Manager, Sharon Monds.
What is the Application Fee? We require a $45.00 non-refundable application fee per application.
What is a Security Deposit and When is it Due? The security deposit is due with a processing application. The deposit will hold the property for you until lease signing, if approved. You will be required to pay the first month rent at the lease signing.
How long does the Application Process Take? The process can take 24-48 Hours.
Are Utilities Included? No, tenants are responsible for all utilities. Cloverleaf Realty will provide you with the contact information for utility providers in the area.
Who is responsible for lawn maintenance? The tenant is responsible for their own lawn care. This includes mowing the lawn, trimming shrubbery, and other general lawn maintenance.
Cloverleaf Realty will provide you with a list of Landscaping Companies in your area, if you do not have your own means to maintain the lawn.
Can I Move in the Middle of the Month? Prorated rent is acceptable. Please contact our office for details.

What is your Pet Policy? Each property we manage has a different pet policy. For the properties that allow pets, we require a one time pet deposit and then you will be required to pay an additional pet fee each month. Please call for details.
